Terms & Conditions - GEOS Languages PLUS
1. Enrollment:
Fill out the registration form and post or fax it to the address mentioned on the contact page. A deposit of 20% of the total amount is due at the time of registration. With your registration you commit yourself to the services requested and booking conditions. After having received your registration and deposit, we will send the confirmation of enrollment and the invoice. The welcome pack with extra information and the address of your accommodation will be sent after you have settled the remaining balance. The invoice must be paid in full, four weeks before arrival.
2. Rebooking:
If a booking (e.g. arrival date, accommodation) is changed up to 31 days before departure, we will be reserve the right to charge a non-refundable fee of $65 / 50€. We will do our utmost, but cannot guarantee the fulfillment of the request made. In the case where extra costs will be incurred due to the rebooking, we will advise you of what the new fee will be.
3. Visa:
In order to provide the letter of acceptance required by the embassy for visa issuance in all countries but the USA, 40% of the total amount should be paid together with an additional non-refundable registration fee of $150 , or the equivalent (+ a shipping fee if applicable). This does not include accommodation placement and fees.
In case of a visa refusal, a full refund minus the additional non-refundable fee can only be made if the student provides the letter of refusal issued by the embassy. If a student is delayed and we do not receive notification 14 days before arrival, we will consider the participation of the student as confirmed and cancellation / rebooking fees may apply.
In cases where the visa has not yet been issued 15 days before departure, we strongly recommend postponing the course. In this case, the first rebooking fee will not be charged. We know visas can sometimes be a tricky process - please let us know if you are having issues.
Refunds for visa refusal shall be 100% minus non-refundable fees.
4. Acceptable forms of payment:
- By bank transfer:
The relevant account number will be on the invoice. Please send us a copy of the transfer order. All bank charges will be incurred by you. - By credit card:
Upon your notification, the appropriate form will be sent. It will need to be completed with the name of the credit card company, card number, expiry date and signature. An additional 2% credit card fee will be charged in our schools in Malta and UK
5. Insurance:
Neither agent, operator, nor the school will be held responsible in any way for any accident, illness, loss of personal effects or change in personal circumstances arising at any time prior to, or during, the course. It is mandatory to have travel insurance as a GEOS Languages Plus student. (incl. Health, Third-party, Accident and Baggage: $ 65 per person per month).
We offer third party insurance offers for all of our students.
6. Liability:
Parents of minors agree that neither GEOS Languages PLUS nor the homestay shall be liable for damage or problems caused either negligently or intentionally by their children while participating in trips. Parents and their children who are still minors recognize and accept the laws and the normal code of conduct of the country which they are visiting.
7. Rights to image and film material:
By agreeing to our general terms and conditions you are accepting that GEOS Language PLUS has the right to use any photos, video and sound recordings which may be produced in the course of a language programme. These materials may be used by us for promotional purposes without cost implication or the need for a separate authorisation from you.
Tuition Refund Policy for Students
A student may withdraw from a program by providing written notice to GEOS.
1) Refunds before the program of study begins:
(a) If written notice of withdrawal is received by the institution within 7 days after the contract is made, and before the commencement of the period of instruction, the institution may retain 5% of the total tuition and fees due under the contract to a maximum of $250.
(b) If written notice of withdrawal is received by the institution 30 days or more before the commencement of the period of instruction and more than 7 days after the contract was made, the institution may retain 10% of total tuition only due under the contract to a maximum of $1000.
(c) If written notice of withdrawal is received by the institution less than 30 days before the commencement of the period of instruction specified in the contract, and more than 7 days after the contract was made, the institution may retain 20% of the total tuition due under the contract to a maximum of $1300.
2) Refunds after the program of study starts:
(a) If written notice of withdrawal is received by the institution or a student is dismissed before 10% of the period of instruction specified in the contract has elapsed, the institution may retain 30% of the tuition.
(b) If written notice of withdrawal is received by the institution, or a student is dismissed after 10% and before 30% of the period of instruction specified in the contract has elapsed, the institution may retain 50% of the tuition.
(c) If a student withdraws or is dismissed after 30% of the period of instruction specified in the contract has elapsed, no refund is required.
3) Refunds owed to students will be paid within 30 days of GEOS receiving written notification of withdrawal and all required supporting documentation, or within 30 days of an institution's written notice of dismissal.
Information for International Students:
4) If a student did not complete the Study Permit by the start date in the Letter of Acceptance, the student must notify the institution and the institution may issue an additional Letter of Acceptance for a later start date. In that case, the institution may charge an additional $200 administrative fee and retain the balance of the prepaid tuition fees pending the outcome of the Study Permit application.
5) If a student advises the institution in writing, prior to the start date, he/she was denied a Study Permit and provides a copy of the Study Permit denial letter issued by Citizenship and Immigration Canada, the institution may retain the lesser of 10% of the total fees due under the contract or $400. Should a student fail to advise the institution, or choose to withdraw for other reasons, the refund policy set out in Part 1 above will apply.
Refunds owed to students will be paid within 30 days of the institutions receiving a copy of the Study Permit denial letter.
